Online booking

There are three ways to book activities:

  1. Online by following the link at the bottom of this page
  2. In person at the Visitor Centre, Moors Valley
  3. By calling the Rangers on 01425 480811 between  9.30am and 4.30pm 7 days a week (answer machine may be in operation at busy times)

Payment is required at the time of booking.
To make an online booking you must be a member or a registered user.
You will need log in details to make a booking, email address and your unique 4 digit PIN number.

If you have completed a health questionnaire for the Activate scheme or booked an activity since May 2013 a PIN number will already have been generated for you. Contact the Rangers and we will supply these for you. If you haven’t given us your email address when joining you will need to contact the centre to add this to your account.

How to Make an Online Booking

  • Step 1 – Enter our booking system by clicking the ‘I agree’ button below to agree to our booking Terms and Conditions and Privacy Policy. (making the site one of your favourites will help make future bookings easier and faster).
    If you are an existing booker go to step 3
  • Step 2 – If you are a first time user or have not booked an event since May 2013 , first register your details.Your PIN number will then be immediately e-mailed to you.
  • Step 3 – Enter your email address and PIN number.
  • Step 4 – Go to ‘Edit my details’ to make sure that all your details are correct. In particular, please make sure your email address is correct and update your mailing preferences. You can also change your PIN number to a more memorable one.
  • Step 5 – Search for your required activity, date and time.
  • Step 6 – Confirm your booking by making a payment. You will then receive your booking and payment confirmation via email. If any due payment is not paid then the booking cannot be held.

Terms & Conditions

Definitions:
The Council – East Dorset District Council (EDDC) or Christchurch Borough Council or an officer authorised to act on the council’s behalf.
Rangers/Visitor Services – representatives of The Council or Forestry Commission
Customer – any person or group who uses a facility, equipment or activity.
Moors Valley – includes any area within Moors Valley Country Park and Forest, either owned or leased by EDDC or the Forestry Commission.
Offsite location(s) – specific named area(s) outside Moors Valley

1. PAYMENT

The customer shall be responsible for the payment and any other charges to do with the booking.
The booking is personal to the customer and the customer shall not assign or sub-let the right to use the facilities. The customer must only use the facilities for the agreed purpose.
Full payment will be taken at the time of booking for all activities via major credit cards or debit cards.
The payment needs to be made at the time of the booking to validate the booking. Event reservations will be held online for 20mins without payment after which they are cancelled.
Price will be confirmed at time of booking. The price is inclusive of VAT where applicable.

2. RULES AND REGULATIONS FOR ALL BOOKINGS

a) In order to make online bookings the customer will need to register their details. Essential registration information will need to be provided. This includes name, telephone number, e-mail address and postcode.
b) A 4-digit PIN number will be generated for you. Any customers who forget their PIN number can request a reminder through the online booking screen.
c) Booking is only confirmed when you pay in full for your activity, and you receive payment confirmation via email from the system.
d) Members are only permitted to make bookings for themselves or their immediate family members as part of a group booking. Transfer of a booking to another person is not permitted.
e) By booking on the event you are confirming you meet the event criteria including age and ability. Please refer to the event listing on the website for full details as refunds cannot be given.
f) Bookings can be made up to 2 hours before the start time of the activity.

3. RULES AND REGULATIONS FOR EVENTS AND ACTIVITIES

a) The booking of an event does not generally include free parking. Parking at Moors Valley will only be provided free for specific activities; in these circumstances it is valid for the duration of the event only (see event details on website).
b) Refreshments are generally not provided, unless stated on the website. Please bring along any refreshments you will require for the duration of the activity.
c) A reasonable standard of behaviour is expected of all customers. Any customer whose behaviour compromises the safety of themselves, other customers or the general public will be asked to leave or be collected. No refund will be given in such circumstances.
d) Customers must follow the normal rules and regulations that apply to any of the sites or buildings in use and follow any instructions/guidance given by the event/activity leader.
e) The Council may, at times, take photographs of participants for use in promotional material e.g website or brochures. Admission to Moors Valley signifies your consent to them being used in perpetuity and in all media without any rights to payment. It is the responsibility of the customer to inform the leader of the event if they do not wish photographs to be taken of them / members of their family/group.
f) Certain activities require additional forms to be completed to enable participation e.g. health questionnaire, consent forms. Please refer to the event listing on the website for full details.
g) Health – it is the duty of customers to make the Council aware of any health issues, disability or illness which may affect the safe running of an activity. To check the suitability of an event to meet your needs please e-mail rangers@moors-valley.co.uk or contact the Rangers 01425 480811.
h) Appropriate clothing must be worn for all activities for example: Appropriate shoes and clothing for outdoor exercise activities. Participants should come prepared for wet weather or strong sunshine.
i) Customers should be aware that clothes may become dirty or even damaged on some activities (e.g bushcraft activities). The Council will not be liable for the cost of replacement for any damaged items (unless negligent).
j) No customer shall grant sound or television broadcasting or filming rights at Moors Valley or on any event without prior conditional consent of the management. The consent may impose conditions and costs with which you must comply.
k) The Council and invited third parties (e.g. press) may carry out general filming and sound recording. Admission to Moors Valley and booking events (including offsite locations) signifies your consent to them being used in perpetuity and in all media without any rights to payment.

3.1 Cancellation - By Customer

a) Cancelling a booking must be done more than 72 hours in advance of the start time of the booked activity. A full refund can be given. If less than 72 hours notice is given it may be possible to transfer the booking to an alternative event of a similar type depending on circumstances of the cancellation and if the place has been filled.
b) To cancel a booking please contact the Rangers on 01425 480811
c) Failure to turn up for a booked activity may result in members receiving a charge or being prohibited from making advance bookings in the future.
d) For events booked using a subscription usage, cancellation or transfer of the booking can be made up to 22 hours before the start time of the event and the usage will be credited to your subscription. To cancel with less than 22 hours notice please contact the Rangers on 01425 480811. In this instance, your usage will not be credited.

3.2 Cancellation - By The Council

a) The Council reserves the right to refuse or cancel any booking without giving any reason, to reject an application of membership (to the booking scheme) and to withdraw membership. As much notice as possible will be given.
b) Where the Council has cancelled a booking a full refund will be paid.
c) The Council will not be liable for any other expenditure incurred or loss sustained by the customer arising from the cancellation of the booking.

4. RULES AND REGULATIONS FOR COACH AND MINIBUS BOOKINGS

a) Coaches and minibuses visiting Moors Valley Country Park should book and pay for their visit in advance. This will guarantee a space is reserved for that vehicle.
b) The payment received allows the vehicle to park for a whole day. There are no reductions available for part-of-day stays. The parking fee still applies if the vehicle is not staying with the group, i.e. dropping the group off and returning later.
c) Bookings will automatically show a 9am arrival time and 5pm departure time - please enter your actual estimated arrival and departure times in the information box on booking.
d) Coaches and minibus must park in the allocated area.
e) All coaches and minibuses should leave the park by the stated park closing time, (8pm latest). Overnight parking is not permitted
f) Coaches and minibuses arriving at Moors Valley without booking and paying in advance may not be admitted to the park if a suitable parking space is not available.
g) Vehicles that are exempt from road tax due to disability of the registered keeper of the vehicle and can prove this on the day of the visit are exempt from parking charges.
h) Vehicles and their contents are parked at the owners risk and neither the Council nor Forestry Commission will accept liability for any loss or damage.

5. RULES AND REGULATIONS FOR WHEELCHAIR AND TRAMPERS HIRE

a) Wheelchairs can be hired by any visitors to Moors Valley, a £10 cash or cheque, refundable deposit along with proof of identity are required. Acceptable forms of proof of identity include drivers licence, passport or utility bill. A form must be completed before hiring. No charge is made for the use of the wheelchair, however donations towards the upkeep can be made at the Visitor Centre at the time of hire.
b) Tramper Mobility Scooters can only be hired to people who are members of the Countryside Mobility South West Scheme. Full details of how to join the scheme, including membership fees, are on the Moors Valley website.
c) Failure to turn up for a booking may result in members receiving a charge or being prohibited from making advance bookings in the future.
d) Bookings can only be made starting on the hour.

5.1 Cancellation - By The Customer

a) Customers should give as much notice as possible when cancelling a wheelchair or tramper booking, to make them available to other users.
b) Bookings can be cancelled or transferred online up to 22 hours before the hire time. To cancel a booking with less than 22 hours notice please contact the Rangers on 01425 480811.

5.2 Cancellation - By The Council

a) The Council reserves the right to refuse or cancel a booking without giving any reason. As much notice as possible will be given, but regrettably wheelchairs and scooters may be returned damaged or unfit for use after a hire, so the notice given may be short.
b) Where the Council has cancelled a booking a full refund will be paid, if applicable.
c) The Council will not be liable for any other expenditure incurred or loss sustained by the customer arising from the cancellation of the booking.

6. LIABILITY

The Council accepts no responsibility for the loss of, or damage to any property or for any injury to or the illness or death, on or at Moors Valley, unless caused by its own negligence.

7. EMERGENCY PROCEDURES

In the event of an emergency situation you must follow all instructions given by authorised staff.
You must report any accident, injury or damage immediately to the Duty Ranger at the Visitor Centre.

8. SURVEILLANCE

CCTV operates within Moors Valley, both internally and externally. The Council complies with the provisions of the Regulation of Investigatory Powers Act 2000 as amended by the Protection of Freedoms Act 2012.

9. DATA PROTECTION ACT

The Council is a data controller under the Data Protection Act 1998. We hold information for the purposes specified in our notification made to the information commissioner. We may get information about you from others, or we may give information to them. If we do, it will only be as the law permits, to;

a) Check accuracy of information
b) Prevent or detect crime
c) Protect public funds. We may check information we receive about you with what is already in our records. This can include information provided by you as well as by others such as government departments and agencies. We will not give information about you to anyone outside of the organisation unless the law permits us to do so.

We promise not to pass any personal details to outside organisations other than the above.

10. COMMENTS

If you wish to speak to someone regarding the level of service, please contact the Ranger team immediately.

All customers must comply with these terms and conditions for booking online, to have regard for the safety of, and behave considerately towards other customers, staff, the building and equipment. Any person not doing so may be asked to leave the activity and/or Moors Valley and must immediately leave if asked. You are responsible for the behaviour of others you bring to Moors Valley or specified offsite location and must explain any relevant rules and conditions to them. You must comply with notices and signs on display at Moors Valley. You are responsible for ensuring all litter is properly disposed of and that no damage is caused to the environment or to the facilities.

English law shall apply to any booking made by you.
